of Time Program Information
eFunds is pleased
to offer the Paid Time Off (PTO) Gift of Time Program. During the
course of our daily lives there may be events that cause us to miss
work because of serious family or personal emergencies. In order
to provide assistance to employees who may be in need of paid time
off but may have exhausted all other benefits, eFunds has created
the PTO Gift of Time Program.
Employees may contribute PTO to specific individuals as the need
is communicated. eFunds will not maintain a bank of hours; therefore,
if you donate hours, you will be requested to indicate the name
of the individual to whom you wish to donate hours on your donation
form.
To be eligible to request PTO under this program, an employee must
have completed 12 months of employment and complete the PTO Gift
of Time Request Form, which can be found under the Forms link. Once
approved, an HR representative will communicate the need for donated
hours to the local area and on eZOOM!, if necessary.
In order to donate PTO hours, employees must be regular full-time
or part-time employees and have completed at least six months of
service. Employees must maintain a balance of no less than 0 hours
in their PTO account immediately after the donation. Donating employees
must fill out the PTO Gift of Time Donation Form. All hours donated
will be used on a first come, first serve basis and must be donated
in four hour increments. Accrued PTO time will be deducted from
the donating employee’s PTO account when recorded by the HR
representative. Each donating employee may donate a maximum of 80
hours of PTO time to any one receiving employee. Note: Once a PTO
donation has been made to the Gift of Time Program it cannot be
returned to the donator. Additionally, any donated PTO hours unused
by a recipient is subject to the same requirements governing the
normal PTO program. Consequently, unused PTO donations at the end
of a calendar year cannot be carried over into a new year.
PTO
GIFT OF TIME DONATION PROGRAM
Purpose:
To provide a means whereby employees can donate accrued personal
PTO time to an employee for absences resulting from a serious medical
condition of an employee or an employee’s immediate family
member. Donations may also be made to employees who are absent as
a result of a natural disaster or other catastrophic event (e.g.
flood, tornado, hurricane).
Definitions:
- PTO: Paid
Time Off
- Severe Medical
Condition: A medical condition that requires or is expected to
require the absence of an employee from work for a minimum of
thirty (30) days or that involves the potential imminent death
of the receiving employee or an immediate family member.
- Natural
Disaster: A flood, tornado, hurricane, or other event
of general impact to the community that causes significant damage
to a receiving employee’s or immediate family member’s
primary residence.
- Immediate
Family: A receiving employee’s spouse/domestic
partner, child/stepchild, sibling, parent/parent-in-law, step-parent/step
parent-in-law, domestic partner’s child/stepchild or parent/step-parent.

HR Representative
An individual in Human Resources who is responsible for the business
area in which a requesting employee works.
- Functional
Manager
A donating or receiving employee’s manager or other person
responsible for the day-to-day management of resources for the
business area in which the receiving employee works.
Donating
- A donating
employee may elect to donate accrued personal PTO only to a specific
employee who has been approved to receive a donation.
- A donating
employee must be a U.S. based, regular full-time or part-time
employee; have completed at least six months of service; and maintain
a balance of no less than 0 hours in his or her PTO account immediately
after the donation.
- A donating
employee must prepare and submit the PTO Gift of Time Donation
Form to his or her Manager for signature. The Manager will then
submit to the appropriate HR Representative.
- All donations
must be in four hour increments. Accrued PTO time will be deducted
from the donating employee’s PTO accrual when submitted
by the HR Representative.
- Each donating
employee may donate a maximum of 80 hours of PTO time to any one
receiving employee.
- PTO donations
are not tax deductible.
Note: Once a
PTO donation has been made to the Gift of Time Program it cannot
be returned to the donator. Additionally, any donated PTO hours
unused by a recipient is subject to the same requirements governing
the normal PTO program. Consequently, unused PTO donations at the
end of a calendar year cannot be carried over into a new year.
Receiving
- To receive
PTO time from a donating employee, an employee must complete a
PTO Gift of Time Request Form and submit it to his or her Manager
for approval. If approved by the Manager, form is sent to the
HR Representative for the area.
- A receiving
employee must exhaust all available PTO balances, prior to requesting
a donation.
- A receiving
employee must have completed 12 months of employment to be eligible
to receive a donation.
- The HR Representative
will contact the Functional Manager of the employee submitting
a request to review the request. If approved, the HR Representative
will submit the employee’s name to the HR Director for final
approval. The HR Representative will then communicate the need
for a donation to employees in the local office first and to eFunds
in general, if deemed necessary.
- The HR Representative
will also notify the Functional Manager and the employee of final
approval and of the communications made.
- A receiving
employee will continue to receive and accrue benefits during periods
when gifts of PTO time are being used.
- PTO Gifts
are limited to the number of hours that a receiving employee is
normally scheduled to work each week and to a total of twelve
weeks during any rolling twelve-month period.
- The HR Representative
will review all donations and utilize donations on a first come,
first serve basis. The HR Representative will not record all donated
hours at the same time; therefore, if all donated hours are not
utilized, the donation form will be returned to the employee and
not deducted from their accrual.
- A receiving
employee will continue to be paid as if he or she were regularly
employed, with all normal deductions.
General:
If a receiving employee does not use all PTO gifts recorded to his
or her account , the unused PTO donations will be not be returned
to the donating employee but considered part of the receiving employee’s
regular PTO. The HR Representative will monitor hours required and
submit donated hours as needed.
If a requesting
employee is currently on Short-Term Disability or Workers Comp and
as exhausted all available PTO, the Gift of Time donation may supplement
these payments but, in no case, shall the payment be greater than
the employee's base wage. Any PTO Gift of Time donations to employees
out on STD or WC will need to be coordinated with the Benefits Department.
Use of PTO gifts
does not extend the maximum time of leave available under eFunds
benefits plans or applicable Family and Medical Leave Act requirements.
The HR Representative
will submit donated hours to HR Data Entry to record PTO to the
receiving employee and deduct hours from the donating employee
